NekoTech Ventures Inc. ("we," "us," or "ChapterPulse") operates the ChapterPulse platform at chapterpulse.com. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our service.

1. Information We Collect

Account Data

When you create an account, we collect your name, email address, and organization affiliation. If you are invited to an organization, we process the invite token and associate your account with that organization.

Usage Data

We collect information about how you interact with ChapterPulse, including pages visited, features used, draft creation and editing activity, and general usage patterns. This data helps us improve the service.

Organization Data

Organizations using ChapterPulse may store member directories, event registration records, volunteer information, newsletter content, and report configurations. This data is owned by the organization and processed by ChapterPulse on its behalf.

Cookies and Analytics

We use essential cookies for authentication and session management. We may use privacy-respecting analytics to understand aggregate usage patterns. We do not use third-party advertising trackers.

2. How We Use Your Information

  • To provide and maintain the ChapterPulse service
  • To authenticate your identity and manage your account
  • To process and deliver newsletters, reports, and exports on your organization's behalf
  • To provide AI-assisted features (content drafting, data insights)
  • To send transactional emails (invitations, export deliveries, system notifications)
  • To improve service quality and fix issues
  • To comply with legal obligations

3. AI Processing

ChapterPulse includes AI-assisted features such as content drafting and data insights. When you use these features, your prompts and relevant context are sent to third-party AI providers for processing. We select providers that offer zero data retention (ZDR) policies, meaning your data is not stored or used for model training by the AI provider. 4. Data Sharing

We do not sell, rent, or trade your personal information. We share data only with:

  • Infrastructure providers that host and operate the service (see our Subprocessors page)
  • Your organization if you are a member of an organization on ChapterPulse
  • Law enforcement when required by applicable law

5. Data Security

We implement appropriate technical and organizational measures to protect your data. These include encryption in transit (TLS), encryption of sensitive credentials at rest (AES-256-GCM), row-level security at the database level, and role-based access controls. For details, see our Security page.

6. GDPR (European Economic Area)

If you are located in the European Economic Area (EEA), you have the following rights under the General Data Protection Regulation:

  • Access: Request a copy of your personal data
  • Rectification: Request correction of inaccurate data
  • Erasure: Request deletion of your personal data
  • Portability: Request your data in a portable format
  • Objection: Object to processing based on legitimate interests
  • Restriction: Request restricted processing under certain conditions
  • Withdrawal of Consent: Withdraw consent at any time where consent is the legal basis for processing

You also have the right to lodge a complaint with your local data protection supervisory authority if you believe our processing of your personal data violates applicable law.

Our lawful basis for processing personal data depends on the context: contract performance (providing the service you signed up for), legitimate interests (improving the service), and consent (where applicable).

7. CCPA/CPRA (California)

If you are a California resident, you have the following rights under the California Consumer Privacy Act and California Privacy Rights Act:

  • Right to Know: Request what personal information we collect, use, and disclose
  • Right to Delete: Request deletion of your personal information
  • Right to Correct: Request correction of inaccurate personal information
  • Right to Opt-Out of Sale/Sharing: We do not sell or share personal information for cross-context behavioral advertising
  • Non-Discrimination: We will not discriminate against you for exercising your rights

To exercise these rights, contact us at privacy@chapterpulse.com. We will respond within 45 days. You may designate an authorized agent to submit a request on your behalf. We may require verification of the agent's authorization before processing the request.

8. Canadian Privacy Law (PIPEDA/PIPA)

If you are a Canadian resident, you have rights under the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial legislation, including Alberta's Personal Information Protection Act (PIPA). These rights include the right to access and correct your personal information, and to file a complaint with the Office of the Privacy Commissioner of Canada. 9. Data Retention

We retain your account data for as long as your account is active. Organization data (member records, event registrations, drafts, reports) is retained for as long as the organization maintains an active subscription.

Upon account or organization termination, we will delete your data within 30 days, except where retention is required by law. You may request data export before termination.

10. International Transfers

ChapterPulse is operated from Canada. Our infrastructure providers are primarily based in the United States. If you are accessing ChapterPulse from outside North America, your data may be transferred to and processed in the United States.

For transfers from the EEA, we rely on Standard Contractual Clauses (SCCs) as approved by the European Commission (Commission Implementing Decision (EU) 2021/914). See our Data Processing Agreement for details.

11. Children's Privacy

ChapterPulse is not directed at individuals under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at privacy@chapterpulse.com.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of ChapterPulse after changes constitutes acceptance of the updated policy.
