Invite teammates, choose permission templates, customize granular access, and manage board transitions smoothly.
Templates and permissions
Permissions are the source of truth for what each team member can see and do. Templates are shortcuts that fill in a common set of permissions. You can always adjust individual checkboxes after selecting a template.
When inviting or editing a team member, you will see a row of template chips under What will they do? with the full permission grid always visible below.
- Full Admin: all permissions, including team management, billing, and connections
- Editor + Analyst: draft newsletters, use Pulse AI, view reports and volunteer data, check in attendees
- Editor: create, edit, and finalize newsletters, view analytics dashboards, check in attendees
- Analyst: view reports, dashboards, Pulse AI, volunteer data, past newsletters, check in attendees
- Event Volunteer: check in attendees at events (mobile and web)
- Custom: keep the current permission set and adjust individual checkboxes
If you toggle a checkbox and the result still matches a template, that template stays highlighted. If it no longer matches, the selection switches to Custom automatically.
Permission groups
The permission grid is always visible and organized into six groups.
- Drafts: create and edit newsletter drafts, mark as sent, view draft history
- Reports: analytics dashboards, CSV exports, volunteer data
- Pulse AI: conversational insights, plus optional access to member contact info, volunteer PII, and financial data
- Events: check in attendees and add walk-in registrants
- Settings: chapter settings, newsletter branding, external connections, report configuration
- Team & Billing: invite and manage team members, view and manage subscription and invoices
The Pulse AI data permissions deserve special attention. The base Pulse AI chat permission lets a member ask questions, but only aggregate data is returned. Enabling Member contact info, Volunteer PII, or Financial data allows Pulse AI to include individual-level details in its answers. Grant these only to members who need them.
Governance and authority levels
ChapterPulse determines each member's authority level automatically from their permissions. You will see a Governance label when editing permissions that updates in real time.
- Owner: has both Manage team and Billing. Can manage all members, including other Owners
- Admin: has Manage team but not Billing. Can manage non-admin members but cannot grant Manage team or Billing
- User: has neither. Cannot manage other members
Only Owners can promote someone to Admin or Owner level. Admins see the Full Admin template disabled because it includes both restricted permissions.
Inviting teammates
Go to Settings > Team and expand Invite teammates. Enter one or more email addresses (press Enter, comma, or Tab after each), pick a template or customize, then click Send invite.
The default template for new invites is Event Volunteer (check-in only). Change it before sending if the person needs broader access. Invites expire after 30 days. You can resend or revoke pending invites from the team list.
Handling board turnover
When a board member steps down, remove them from the team by clicking Remove on their row in Settings > Team. Then invite the incoming board member with the appropriate template for their new position.
If the outgoing member is also an event volunteer, you can keep them on with the Event Volunteer template instead of removing them.
Seat limits
Your plan includes a set number of seats (3 on Compose, 5 on Operate, 10 on Insights). Active members and pending invites both count toward the limit. If you need more, add seats from Settings > Billing. Extra seats are prorated for the remainder of your billing period. Removing a seat takes effect on the next invoice.
