Team and permissions

Manage team members, assign the right level of access, and handle board transitions smoothly.

Understanding presets

When inviting someone, start by picking a preset that matches their role. You can customize individual permissions afterward.

  • Admin: full access including team management, billing, and connections
  • Editor + Analyst: create newsletters, use Pulse AI, view reports, and check in attendees
  • Editor: create, edit, and finalize newsletters, view analytics dashboards, and check in attendees
  • Analyst: view reports, dashboards, Pulse AI, volunteer data, past newsletters, and check in attendees
  • Viewer: read-only access to sent newsletters and analytics dashboards
  • Events Volunteer: check in attendees at events (mobile app)

Customizing individual permissions

After selecting a preset, you can toggle specific permissions on or off. Permissions are grouped into categories:

  • Drafts: edit drafts, mark as sent, view draft history
  • Reports: analytics dashboards, CSV exports, volunteer data
  • Pulse AI: conversational insights, member PII access
  • Admin: team management, billing, connections, chapter settings

The Member PII permission deserves special attention. When enabled, Pulse AI can reference individual member names, emails, and contact info in responses. Disable it for team members who should only see aggregate data.

Handling board turnover

When a board member steps down, you do not need to delete their account. Instead:

  • Change their role to Viewer so they can still reference past work
  • Or remove their access entirely by clicking Remove on their row

Invite the incoming board member with the appropriate preset for their new role. This ensures a clean handoff with no gap in access.

Seat limits

Your plan includes a set number of seats (3 on Compose, 8 on Operate, 12 on Insights). If you need more, add seats from Settings > Billing. Extra seats are prorated for the remainder of your billing period. Removing a seat takes effect on the next invoice.
